HVAC hiring guide
How to choose an HVAC contractor
What to ask before you hire a heating and cooling contractor. Updated October 2026.
Start with what you need
Repair, replacement and maintenance are different jobs. If your system is older or needs frequent repairs, ask a contractor to explain both the repair and the replacement options so you can compare them.
Check licensing and insurance
Many cities and counties require mechanical or HVAC contractor licenses and permits for equipment replacement. Ask the company which license applies where you live, whether it will pull the permit, and for proof of liability insurance.
Ask about the technicians
- Are technicians employees of the company?
- Do they hold manufacturer or industry training or certifications?
- Will the same company handle warranty service later?
Compare replacement quotes carefully
- Ask for the brand, model numbers and efficiency ratings of the equipment quoted.
- Ask whether the contractor will size the system for your home rather than matching the old unit.
- Check what is included: removal of old equipment, thermostat, ductwork changes, permits.
- Compare parts and labor warranty terms, and ask whether equipment must be registered with the manufacturer.
Maintenance plans
Many contractors offer yearly maintenance plans. Ask what each visit includes, how often visits happen, and whether the plan includes priority scheduling or repair discounts, then decide whether it fits your system and budget.
Get the agreement in writing
Before work starts, ask for a written estimate or contract that lists the work, materials, price, payment schedule, start date and any warranty terms. Keep copies of everything you sign and every receipt.
How we can help
Our rankings list local companies with details taken from each company’s own website and public business listings. We don’t publish ratings we can’t verify. Use a list to build a short list, then call two or three companies and compare what they tell you.
